Customer Service Centre (CSC) Advisor

ROLE PURPOSE

To work as part of a team to deliver excellent service to customers through the channels of their choice, whilst maximising sales opportunities. Support organisational success and growth by booking and maximising high quality appointments whilst ensuring a smooth customer journey.

This role is based in Birmingham.

 

KEY ACCOUNTABILITIES / CONTRIBUTION

  • Maximise sales opportunities by identifying customer needs and ensure these are met by providing appropriate solutions
  • Optimise enquiry to booking conversion rates, repeat booking and attendance rates by thoroughly screening enquiries, demonstrating excellent product knowledge, positively promoting THMG USP’s and overcoming objections to book quality clinic appointments for onward conversion.
  • Proactive, efficient response to customer enquiries via all communication mediums -incoming/outbound telephone calls, social media, web, email and post in accordance with agreed service levels.
  • Handle all internal and external enquiries with empathy and professionalism to provide exceptional customer service and promote a positive image of THMG brand.
  • Inform customers of the general suitability and implications of treatments so patients can make an informed decision that protects their safety and promotes a positive outcome.
  • Ensure a smooth journey for patients by liaising and maintaining strong relationships with colleagues throughout THMG; providing appropriate, accurate information as required. 
  • Ensure customers are treated in an ethical, compliant manner through vigilance and stringent adherence to internal and external policies and legislation.
  • Keep appropriate and detailed records of customer enquiries in accordance with GDPR and DPA guidelines. 
  • Process payments in strict accordance with legal requirements and internal processes

As part of this offering, THMG launched a new Dermatology clinic in January 2017 in a number of our clinics (including Harley St, and Liverpool St) and we plan to roll out across more clinics throughout 2018. The new Dermatology service launches as an extension of our non-surgical offering as part of an initiative to improve safety and awareness around skin and skin health. We currently work with Dr Justine Hextall whom is our Lead Dermatology Consultant and also a Fellow of Royal College of Physicians with a number of peer reviewed publications globally.

Our Dermatology clinics offer a range of skin treatments for a variety of conditions including acne treatment, mole removal, hyperhidrosis, psoriasis, rosacea and milia removal.  We are constantly looking to introduce new treatments as we strengthen our offering and want our Dermatologists to be a major part of our growth!

The ideal candidate will be a fully trained, experienced Dermatologist practicing in dermatological and cosmetic treatments.  We supply the framework to practice within, clients and, the full support of a dedicated Dermatology Co-ordinator.

Lead Nurse Counsellor Therapist

Job Purpose

To promote, counsel, inform and prepare patients, in accordance with company values and agreed business ratios, to gain access to cosmetic surgery, laser hair removal or aesthetic procedures by referral to a surgeon or nurse therapist. To carry out non-surgical treatments and laser hair removal.

  • Successfully complete the Lead training LMS sessions followed by Train the trainer and Assessors training with the Clinical Training Manager
  • Where ‘Lead Aesthetic Practitioners’ are employed in the clinic, ensure their standard of performance with regard to that role is satisfactory through training and coaching - liaising with the Clinic Manager to address identified weaknesses
  • Attend Safety meetings and conference calls; delivering resulting messages, updates and education to colleagues as required
  • Deliver clinical training and carry out assessments for new and existing team members as per Governance Manual ‘Clinical training & assessment’ schedule; thus promoting the highest standard of clinical care
  • Undertake the role of clinic Laser Protection Supervisor (unless otherwise allocated by Clinic Manager)
  • Undertake the role of the Infection Control Link Nurse/ Person (unless otherwise allocated by Clinic Manager)
  • Manage and report to Clinic Manager on clinical safety incidents in line with the adverse incident policy.
  • Support the Clinic Manager in any/ all delegated governance activities as detailed in the Governance Manual 

Other Tasks & Duties

  • Management and processing of clinic ordering, invoicing, deliveries, stock checks
  • Patient complaints
  • Utilise agreed company protocols, policies and procedures and pathways for effective service to patients
  • Responsible for achieving personal sales targets
  • Responsible for personal continual education, training and development
  • Accept payment for treatments provided, where necessary
  • Book follow-on appointments
  • There is a requirement to provide cover for other clinics should the need arise

1st Line IT Support Technician

An opportunity has arisen for a 1st Line Support Technician to join the IT department of the Harley Medical Group.

Based in Birmingham and reporting to the IT Systems Manager, the successful candidate will provide an important link between internal users, 3rd party suppliers and the IT Department.  We are looking for someone who is able to deliver high level of customer service coupled with good technical knowledge.

Responsibilities

  • Answer all incoming calls to the Help Desk in a professional, confident and timely manner
  • Provide first line support for any information technology issues and problems
  • Provide assistance by phone, email and/or using a ticket management system
  • Record all issues within an ITSM system
  • Track issues to resolution
  • Maintaining the knowledge base for end user self-help and Service desk first line incident resolution and request fulfilment.
  • Supporting following technologies, Microsoft Windows Desktop / Server Operating Systems, Citrix XenApp, Active Directory, Microsoft Office, Exchange, Update the internal knowledgebase with issue resolution details
  • Support computers, laptops, tablets, smart phones and applications
  • Monitor, troubleshoot and escalate alerts
  • Escalate problems as required to Tier 2 and Tier 3 support teams

Skills & Experience
